Looking to promote an upcoming event in your department? Updating a poster? Creating a newsletter or a website?

UPEI Marketing and Communications can help. Our Project Brief form allows our team to take your ideas and create a plan to achieve your marketing and communications goals.

Project Request Process

  1. Once your project brief is submitted, it will be reviewed by Marketing and Communications to ensure it is within scope for design services and to ensure we have the resources necessary to provide the service.
  2. If approved, copy (text) for the design is edited. We ask that anyone requesting design work provide text that is as close to print-ready as possible. UPEI Marketing and Communications reserves the right to edit submitted content. Substantive copy changes will be brought to your attention.
  3. A designer is assigned to the project and develops a proof.
  4. The proof is provided to the client for a thorough review. Any changes needed for the design should be provided at this point as this is the only revision stage.
  5. Designer makes changes to the proof. An updated proof is provided to the client for final approval to ensure all edits requested in step 4 are complete.
  6. Project is closed.

All printed or fabricated materials require a department account code for billing purposes.
Step 4: Project Copy and Other Requirements

Project copy: 

In order to help us deliver on your design request, please provide an MS Word file of the copy that you would like included in the design. Remember that copy should be proofread and fact-checked prior to submitting. Copy for event promotions must include the who, what, where, when and why in order to properly develop materials. If you require assistance with marketing copy (brochures/ad copy) please contact us and we’d be happy to work with you. 

Photos: 

  • Do you require new photography for this project? (Please provide detail in field below)
  • Are you providing photography for this project? If so, photos must be in jpeg format and 300 dpi resolution.

Logos: 

  • Are there other logos to be included in this design project? (e.g., sponsors/funders/partners)?
  • Logos must be high resolution/eps format.

NOTE: Filenames cannot contain special characters or and spaces. If your filename must contain characters, please use only underscores and hyphens.

One file only.
2 MB limit.
Allowed types: txt, rtf, pdf, doc, docx, odt, ppt, pptx, odp, xls, xlsx, ods.
Maximum 10 files.
2 MB limit.
Allowed types: gif, jpg, png, bmp, eps.
Maximum 5 files.
2 MB limit.
Allowed types: gif, jpg, png, bmp, eps, tif, pict, psd.

  1. Please submit your request seven (7) working days prior to your deadline.
  2. If the project requires printing, please submit your request ten (10) working days prior to allow for printing time.
  3. Projects enter the queue after all required information is submitted.
Marketing and Production requires seven (7) working days advance lead time for design services and at least ten (10) working days for projects that require print. Projects enter the production queue only after all required information is submitted. If your request falls within this requirement, please contact marketing@upei.ca to discuss further.
Printed materials will always be delivered to the contact/department making this request unless advised otherwise.
