The Veterinary Teaching Hospital (VTH) at the Atlantic Veterinary College (AVC), University of Prince Edward Island (UPEI) invites applications for a full-time three-year term (with possibility for extension) Inventory and Systems Manager position.

This person would work under the Hospital Director, and alongside a team of four other members of the VTH management team.  The management team works together to supervise the administrative and technical support staff within the VTH, ensure smooth day-to-day operations, foster an environment to optimize the client experience, patient care and student learning, and create and follow policies leading to long-term sustainable vision planning for the VTH. This position also liaises with Information Technology Systems and Services (ITSS) to work with their established teams and processes. Specifically, the Inventory and Systems Manager will focus on:

RESPONSIBILITIES:

  • Collaborate with UPEI’s ITSS team in the planning, design, development and deployment of new applications and enhancements to existing applications within the VTH
  • Promote the effective and efficient use of technology in streamlining and automating VTH processes
  • Identify new and review existing inventory processes to streamline and improve inventory activities within the VTH
  • Prepare and deliver reports, recommendations or alternatives for continuous process improvement in both the information and technology systems and/or the inventory management systems and processes within the VTH
  • Manage, coordinate, execute and supervise in-year and year-end inventory counts and reporting
  • Configure referring vet, patient, client, and inventory applications to meet the needs of stakeholders in collaboration with ITSS, especially for broader systems requirements
  • Manage application upgrades for the purposes of adding new features and enhancing performance. This includes evaluating upgrade needs/availability, reviewing/distributing release notes, developing a test plan, appropriately scheduling/coordinating the upgrade, communicating to end-users, and overseeing outcomes
  • Provide systems support and initially troubleshoot IT systems issues relating to VTH operations to delineate between user issues and technology issues, and then to effectively engage the supports within ITSS services to deliver technology solutions, including appropriate use of filing tickets, and communication with ITSS help desk team.
  • Participate in the development of policy and procedure, business plans, administrative strategies, and performance objectives with respect to inventory and IT systems
  • Develop, implement, and lead continuous process improvement initiatives within the VTH with respect to IT systems and inventory, and communicate effectively with stakeholders
  • Develop, implement, and lead resource allocation strategies within the VTH with respect to use of IT systems and inventory management
  • Manage the inventory centres in the Materials Management Unit (MMU), Dispensary, VTH retail and other inventory areas within the VTH to ensure the timely sourcing, procurement, and distribution of supplies within the VTH and maintain effective inventory control
  • Manage and supervise the MMU and Dispensary, including lead inventory teams to supervise individuals with inventory responsibilities and to optimize inventory functions throughout the VTH
  • Manage the facilities and equipment assets in the MMU and Dispensary in collaboration with the Operations Manager
  • Assist with supplier selection and evaluation, and vendor relations for both MMU, Dispensary, and retail centres (pet food) in collaboration with MMU and Dispensary staff including management of quotations, contracts and proposals related to these units
  • Work with biomedical engineering and ITSS to maintain equipment inventory files
  • Assist the VTH Director in compiling annual reports for AAVMC, AVMA-COE, quarterly and annual reports for hospital stakeholders, and other reports as required
  • Future-forward planning for IT systems and data management of electronic medical records, patient management and inventory systems within the VTH to develop the technology road map in line with evolving needs of the VTH

QUALIFICATIONS:

  • Related Bachelor or Master’s degree
  • At least 3 years of experience in a related post-secondary position
  • Extensive experience with information technology systems in a health care setting with preference given to those with experience in veterinary medical software and applications
  • Experience working with service and support ticketing systems
  • Experience in promoting the effective use of technology in streamlining and automating business processes
  • Experience in the selection and implementation of software and/or hardware solutions, systems and products
  • Experience working with inventory systems and reporting
  • Extensive experience importing and validating data for use in reporting software, spreadsheets, and graphs
  • Pre and post implementation experience with both large and small projects
  • Demonstrated ability to effectively liaise and communicate with multiple stakeholders both within and outside of a department.
  • Demonstrated ability to implement continuous process improvement
  • Post-secondary experience working with a diverse group of students, staff and faculty would be an asset
  • Experience and ability to create systematic and manual operations procedures in both technical and user-friendly language
  • Experience with the direct supervision of others including performance management
  • Ability to successfully advance multiple competing priorities
  • Professionalism, maturity and the ability to deal with confidentiality are vital in this role
