ADS Level 5 - Administrative Assistant - Graduate Studies and Research - Atlantic Veterinary College
$59,312 to $65,224 per annum, as per CUPE 1870
Graduate Studies and Research (GSR) at the Atlantic Veterinary College (AVC) requires an Administrative Assistant to provide administrative support services.
RESPONSIBILITIES:
- Be a point of personal, mail, and telephone contact with the public, faculty, students and staff
- Assist in arrangements for undergraduate (veterinary) student research awards and programs, including the summer research and leadership program and Veterinary Scholars Symposium
- Assist with administrative aspects of the AVC graduate program.
- Summarize required aspects of graduate studies and research at AVC for various internal and external reports
- Assist with the planning of seminars, conferences and webinars
- Maintain a well-organized filing system for records, office supplies and repository of resource materials
- Compile and organize information for annual reports, newsletters and proposals
- Perform general accounting duties
- Prepare meeting agendas, take minutes, assemble and distribute materials and track action items
- Assist in maintaining positive communications with outside agencies and individuals
- Administer websites and social media accounts
- Perform other related duties as required
QUALIFICATIONS:
- Successful completion of two years of post-secondary program in a related area, such as an Administrative Assistant Program, with at least 3 years of related experience is required
- Successful completion of a higher education degree (e.g., Bachelor of Arts) is recommended
- Proficiency in Microsoft Word, Excel, PowerPoint, E-mail usage, electronic scheduler is required
- Experience with budgets and bookkeeping is required
- Demonstrated ability to work with others while meeting regular deadlines is required
- Effective interpersonal and communication skills is required
- Experience in handling multiple tasks amid changing priorities is required
- Ability to work with minimum supervision is required
- Excellent writing skills (grammatical, typographical, and ability to improve and edit documents) is required
- Experience with Moodle and Google Apps, as well as knowledge with software for maintaining web sites and social media accounts is recommended
- Familiarity with the university procedures and environment, including identifying and acting appropriately on confidential matters is recommended
