ADS Level 7 - Operations Coordinator - Faculty of Nursing
$67,847 to $74,483 per annum, as per CUPE 1870
The Faculty of Nursing is seeking applicants for an Operations Coordinator. Reporting directly to the Associate Dean, Faculty of Nursing. The position provides supervision, oversight, and coordination in support of the general operations of the Faculty of Nursing’s undergraduate and graduate programs.
The Faculty of Nursing is a fast paced, dynamic environment. With over 350 students in the undergraduate and graduate program, and a large complement of faculty and clinical nursing instructors, the Operations Coordinator will be integral to the efficient functioning of the Faculty of Nursing to support students, faculty, clinical nursing instructors, and staff.
RESPONSIBILITIES:
- Provide operational support to the Dean, Associate Dean, Faculty, and Clinical Nursing Instructors
- Maintenance and updating of a well-organized confidential filing system for departmental records
- Scheduling of Faculty and CNI reviews
- Liaising with HR and payroll
- Tracking budgets, maintenance of petty cash, process expenditures, credit care reconciliations
- Responsible for creation of and updating of all job fact sheets, job postings, and job descriptions
- Managing sessional roster
- Organizing conferences, workshops, and other special events
- Creating and maintaining standard operating procedures.
- Determining pre-requisite requirements for students
- Establishing student affiliation agreements in collaboration with UPEI contracts office
- Assist the Associate Dean in monitoring and maintaining up-to-date records of departmental faculty, clinical nursing instructors and staff
- Management of building spaces, equipment, and other infrastructure.
- Facilitating creations of required reports for accreditation and program approval
- Assist with strategic planning and accreditation
- Liaise with academic and support departments across campus as well as external clinical partners
- Other duties as assigned
QUALIFICATIONS:
- Successful completion of a recognized post-secondary program as an administrative assistant, or in a related discipline
- A minimum of 3 years’ previous experience in administrative or executive support roles, preferably in an educational setting, or an equivalent combination of education and work experience
- Familiarity with the academic / curricular programs, policies & procedures at the Faculty of Nursing is required
- Experience with monitoring and maintaining budgets and bookkeeping including use of University procurement and accounting systems is required
- Excellent time management and computer skills with a strong working knowledge of Microsoft 365 (including word processing, email, internet searching, spreadsheets, database management)
- Demonstrated ability in written and oral communications with excellent organization and interpersonal skills
- Demonstrated ability to work independently and prioritize tasks in a demanding environment
- Demonstrated ability to work collaboratively with a variety of colleagues, with experience in an academic environment considered an asset
- Demonstrated ability to maintain strict confidentiality
- Knowledge of UPEI and its operations is required
- Experience with enterprise-level software systems would be an asset
