A senior management position with a high degree of responsibility and accountability both at the policy and operational level, the Manager of Registrarial Operations & Services has primary responsibility for developing, implementing, and continuous improvement of processes related to the UPEI student experience. 

The incumbent will ensure compliance with curricular requirements and academic policy, as well as exceptional customer service to students, staff, and faculty.

This position will oversee the collection, validation, and maintenance of applicant data, both for the academic record and the demographic information maintained within UPEI’s centralized information system (Colleague) in keeping with the PEI Freedom of Information and Protection of Privacy Act. 

The Manager of Registrarial Operations and Services will provide strategic leadership and operational oversight to the Registrar's Office and Student Experience Hub in coordination with UPEI’s Business Process Analysts and IT Systems & Services. In keeping with the strategic plan of the University and with key focus on student and staff success, this position plays a key role in project implementation, process improvement, regulatory testing related to all operational services, ensuring enhancements are leveraging current strengths, aligning processes and optimizing services to students. The incumbent will lead and oversee the documentation of all operational processes to aid in staff training and transparency, with a focus on professional development and succession planning.

Interpersonal interactions and direction are required on an ongoing basis with departments within the University. The Manager, Registrarial Operations & Services has influence throughout the University in records, student information system, business process management, and curriculum management and as such must maintain productive working relationships with departmental and faculty users across all campuses.

RESPONSIBILITIES:

  • Provide functional and operational expertise in the management of UPEI’s student information system
  • Participate in the development of policy and procedure, business plans, administrative strategies, and performance objectives
  • Lead continuous process improvement initiatives with cross functional teams and institute stakeholders
  • Educate and coach team members
  • Oversee student support services and student assistants
  • Supervise staff in the Registrar’s Office and Student Experience Hub
  • Streamline operational reporting from the RO including applicant, enrolment and student records data
  • Provide input to communication plans to ensure consistent and accurate messaging
  • Develop and implement continuous improvement strategies
  • Develop and implement resource allocation strategies
  • Act as a lead in projects that involve registrarial operations
  • Promote the effective use of technology in streamlining and automating business processes
  • Oversee academic timetabling/scheduling & registration
  • Play a key role in the university’s annual MPHEC and Statistics Canada reporting requirements, responsible for data management, report creation, and the dissemination of student and program information. Working with the Institutional Research Officer and members of the PSIS reporting team, this position is responsible for validating and ensuring data accuracy during the submission process.

This position requires extensive knowledge of registrarial processes, systems and reporting standards and best practices in the context of post-secondary education in Prince Edward Island. With a student focused, service-oriented approach, it is expected that this position will lead others, create and develop strategic ideas and plans, apply sound communications and interpersonal skills for building collaborative and positive relationships, as well as to navigate and resolve challenging problems and circumstances effectively. 

QUALIFICATIONS:

  • Related Bachelor or Master’s degree
  • At least 5 years of experience in a related post secondary position
  • Extensive experience with a student information system, preferably Colleague
  • Experience working with service and support ticketing systems, preferably iTop
  • Experience with MPHEC reporting process and tools
  • Pre and post implementation experience with both large and small projects
  • Experience liaising with other PSE institutions
  • A demonstrated ability to work in a traditional environment while recommending and implementing continuous process improvements
  • Post secondary experience working with a diverse group of students, faculty and staff
  • Demonstrated experience in an interdisciplinary environment
  • Equivalent combinations of education and experience may be considered
