The Department of Human Resources is seeking energetic and experienced Payroll specialists to join our fast paced, service-oriented team. UPEI has recently completed the implementation of a new HRIS and Payroll system and the ideal candidates will be integral members with processing our bi-weekly payroll in the Ellucian Colleague System.

RESPONSIBILITIES:

Working in cooperation with the HR and Payroll staff members, the Payroll Clerks will:

  • Coordinate and perform all activities relating to the processing of the organization’s current and arrears bi-weekly payrolls
  • Interpret and apply provisions of collective agreements and terms of employment
  • Verify and enter bi-weekly related payroll changes in two distinct payrolls
  • Enter and update position, employee, and timesheet information for hourly and student employees
  • Audit timesheets, reports and hours entered through the web time entry system, identifying errors to ensure adherence to collective agreements and policies
  • Perform payroll processing activities including the production/distribution of pay advice, processing of government, pension, benefit, and union remittances
  • Prepare journal entries and accounts payable vouchers for pay related transactions
  • Prepare and distribute relevant reports as required
  •  Assist with implementation of annual premium rate changes
  •  Assist with audit/balancing of payroll accounts quarterly and at year-end
  •  Maintain accurate files in accordance with payroll best practice and legislation
  • Prepare Records of Employment and confirmation letters of employment
  • Complete monthly Statistics Canada payroll surveys
  • Assist with T4 and T4A preparation, reconciliation, and distribution
  • Serve as primary contact for all general payroll inquiries/ information requests

QUALIFICATIONS:

  • Minimum two-year college diploma in business accounting and certified payroll practitioner accreditation would be a definite asset
  • Minimum of 2 years relevant payroll experience, working with integrated HRIS/Payroll systems
  • Demonstrated experience and strength in numerical and analytical abilities with a focus on accuracy when processing mass data entry
  • Excellent computer skills including proficiency in computerized HRIS/Payroll systems, spreadsheets, and database software. Experience with the Ellucian Colleague System would be an asset
  • Effective communication and interpersonal skills with a customer service focus
  • Strong time management skills with an ability to multi-task to meet multiple timelines/deadlines
  • Demonstrated experience working with various collective agreement provisions, benefit plan provisions and CRA regulations
