The UPEI Health and Wellness Centre is seeking two (2) Administrative Assistants to provide administrative and operational support the COVID-19 Testing Team at the UPEI Health and Wellness Centre.  The successful applicants will report directly to the Director of the UPEI Health and Wellness Centre.  The nature of these positions requires individuals who are efficient in a multi-tasking work environment, have high levels of competencies in office-related computer technologies and all online UPEI systems, an ability to work independently, excellent analytical and planning abilities, strong motivation, and exceptional interpersonal skills.

RESPONSIBILITIES:

  • Serving as a member of the UPEI Health and Wellness Centre team, working in collaboration with other staff, the campus community, and outside organizations to support students, staff and faculty who come into contact with the UPEI Health and Wellness Centre
  • Representing the UPEI Health and Wellness Centre as the initial point of contact with students, faculty, and staff to provide general information about the COVID-19 Mandatory Vaccination Policy and compliance monitoring
  • Reviewing attestation reports and requests for exemptions, ensuring submitted documents/attestations meet defined criteria and notifying individuals that documents meet/do not meet criteria
  • Working with the Campus Community to understand requirements, develop individual plans for testing, becoming fully vaccinated and in compliance with the UPEI policy
  • Planning for new hires, incoming students and other programs (e.g. EXPLORE) who are coming to the university to ensure there is a process to ensure they can attest their vaccination status prior to arrival
  • Developing and maintaining a Weekly Testing List and monitoring compliance. Contacting those who miss to ensure they are testing outside of UPEI
  • Sending reminder notifications to students, faculty and staff who are working through a vaccination plan or required to test
  • Assist at the COVID-19 Testing Clinic to register and track attendees
  • Monitor emails for COVID19testing@upei.ca.
  • Maintaining discretion, confidentiality, and continuity of service for all clients, and assisting in maintaining positive communications with outside agencies and stakeholders, such as the Chief Public Health Office, Public Health Nursing and Health PEI
  • Providing back-up to the Administrative Assistants of the UPEI Health and Wellness Centre
  • Other duties as required to support efficient operation of the COVID-19 Testing Team and the UPEI Health and Wellness Centre  

QUALIFICATIONS

  • Successful completion of a two-year post-secondary program in office administration or medical support services program with two years related experience or equivalent experience
  • Knowledge/experience with medical/health terminology is an asset
  • Proficient in Microsoft Word, Excel, Moodle, MyUPEI, Email, Pentaho and other major office-related software including internet searching and data management programs
  • Possess strong interpersonal communication and organizational skills
  • Possess intercultural competence and function as an effective member of the team
  • Demonstrated ability to problem solve in a fast-paced environment
  • Demonstrate superior customer service orientation and attention to detail
  • Ability to maintain confidentiality and discretion
  • Familiarity with university regulations and policies will be considered an asset
