As soon as possible for three (3) month term (Term may be reduced or extended depending on performance, available funding and departmental requirements)

The Department of Chemistry requires an ADS Level 5 to provide receptionist and administrative support.

RESPONSIBILITIES:

• Manage department office; maintain files; track recurring deadlines
• Organize meetings, prepare agendas, take and distribute minutes, book rooms
• Manage schedules and appointments; book travel and prepare itineraries
• Track budget, purchase supplies, maintain petty cash
• Answer student inquiries with respect to admissions, course offerings, and timetable
• Prepare paperwork for faculty, staff and student hires; manage sessional roster
• Coordinate student evaluations of teaching
• Maintain student email distribution, faculty lists
• Distribution of incoming mail
• Preparation of correspondence, photocopying, filing
• Maintain department website
• Liaise with academic and support departments across campus
• Other duties as assigned

QUALIFICATIONS:

• Post-secondary education in an administration assistant program with two years related experience, or an equivalent combination of training and experience
• Demonstrate effective interpersonal, communication and organizational skills
• A good working knowledge and experience in computers and computer systems; e.g., Word, spreadsheet programs, e-mail
• Ability to work independently and prioritize tasks in a fast paced environment
• Knowledge of UPEI and its operations would be an asset
