The Registrar’s Office requires a Registration and Scheduling Coordinator to be responsible for course timetable development, space optimization, examination scheduling and the student registration process.

Reporting to the Manager, Registrarial Operations & Services, the incumbent will work within the Office of the Registrar, which provides services to current and former students, as well as to faculty and staff of the University. As part of the Student Experience Hub, the incumbent will be committed to being a partner in supporting student success and providing service excellence. The incumbent will work closely with Deans, Chairs and Faculty in collecting and coordinating the academic schedule, and with Student Records and Admissions to ensure coding and data standards are accurate.  Registrar’s Office staff work as a team to ensure a high level of service within a busy environment with tight deadlines.

RESPONSIBILITIES:

  • Build, implement and maintain an annual academic timetable with optimum considerations given to a student-centered schedule and best utilized physical space
  • Build the examination schedule
  • Oversee the academic frameworks to support the preregistration, registration, and block registration processes for students
  • Work collaboratively with Academic Records staff to ensure course information is accurately and consistently reflected in the course catalog and timetable
  • Ensure the self-service on myUPEI registration functionality is clear and that information on registration, deadlines, and/or changes are clearly communicated to students via announcements, email, etc.
  • Work collaboratively with Student Accounts regarding implementation of course add/drop/discontinuations with respect to applicable refunds
  • Demonstrate professionalism and respect for diversity and inclusion toward students, faculty, staff, and community members at all times
  • Adhere to confidentiality requirements

QUALIFICATIONS:

  • Undergraduate degree with five (5) years of related experience
  • Equivalent combination of education and experience will be considered
  • Previous work experience in academic timetabling and space utilization management
  • Demonstrated previous experience of strong analytical skills, computer skills and problem-solving skills
  • Proactive thinker, able to troubleshoot problems, find solutions, think creatively and continuously seek out system efficiencies and process improvement
  • Strong communication, collaboration, and relationship building skills, with a team-oriented attitude
  • Ability to exercise discretion, tact and often persuasion when dealing with sensitive changes that may impact established departmental practice or culture
  • Demonstrated interpersonal, listening and business relationship skills
  • Effective facilitation, leadership, and conflict resolution skills
  • Experience in the use of Colleague Student modules
  • Student focused and committed to service excellence
