Ancillary Services at the University of Prince Edward Island includes Residence Services, Food Services, the Bookstore, Conference Services and more.  Reporting to the Manager of Conference Services, we are seeking a strong candidate to fill a Special Events and Summer Accommodations Assistant Manager position within Conference Services. Conference Services is the home to meeting space bookings, summer accommodation bookings, conference, and event planning support, and connecting clients with the University’s food service provider for catering functions.

RESPONSIBILITIES:

  • Provide leadership in the integration of events and conferences hosted and delivered by members of the University community or external clients
  • Responsible for maintaining the University’s room booking software
  • Maintain, develop and/or improve the online UPEI event databases/calendars
  • Working with campus partners, support the organization of institutional events on campus such as Convocation, Recognition of Founders Ceremony, as well as conferences, and banquets, etc.
  • Oversee event budgets, timelines, risk assessment, and logistics of various events
  • Serve as the liaison between the campus clients and Marketing and Communications to promote events
  • Coordinate the establishment and maintenance of standards, policies, and protocols for organizations and facilitation of conferences and events on campus
  • Provide on-site inspections, advise on and monitor services for events including room set-up, menu, equipment needs, and overall venue appearance
  • Report on deficiencies with the goal of improving service
  • Record and measure success of campus events

QUALIFICATIONS:

  • Experience working in a complex organization with demonstrated success in special event consultation, planning, and execution
  • Experience in using a variety of communications tools and vehicles to communicate with internal and external audiences
  • A demonstrated commitment to product quality, attention to detail and building exceptional relationships
  • Knowledge and experience working within a Conference Services operation which includes accommodation booking and conference planning would be considered an asset
  • Bachelor’s degree in business administration/commerce, marketing, events, convention or hospitality management, or a related field
