The Department of Biomedical Sciences, Atlantic Veterinary College, is seeking applications from qualified individuals to provide administrative support to the Department Chair and Faculty. The successful applicant will report directly to the Chair and will provide efficient and timely financial, personnel and administrative services for the faculty and staff of the Department.

RESPONSIBILITIES:

  • Acting as an assistant to the Chair, including organizing the Chair’s agenda, arranging appointments, meetings, and travel
  • Assisting the Chair in monitoring and maintaining up-to-date records of departmental faculty, staff, and graduate student activities
  • Maintaining departmental budgets
  • Serving as the department’s support person who would act as the confidential liaison on personnel matters with AVC Dean’s Office, Human Resources and Payroll Office
  • Coordinating and prioritizing the internal administration of the Department
  • Maintaining a well-organized filing system for department records
  • Taking minutes at departmental meetings, maintaining office supplies and repository of resource materials for consultation (Department Policies, Dean’s Council Minutes, Accreditation, Advisory Council, etc.)
  • Providing assistance to DVM and graduate students
  • Assisting in the preparation and submission of Departmental reports
  • Preforming other duties as required

QUALIFICATIONS:

  • Completion of two years of post-secondary program in Business Administration, Public Administration, or related discipline with a minimum of 3 years’ experience in a similar administrative position
  • Experience with budgets, bookkeeping (Colleague), and computer skills to include a working knowledge of Microsoft Office, Word, Excel, and Power Point
  • Demonstrated ability in written and oral communications and excellent organizational and interpersonal skills
  • Ability to work collaboratively and meet deadlines
  • Versatility to handle frequent interruptions while dealing with multiple tasks and projects
  • Excellent time management
  • Demonstrated ability to maintain confidentiality
  • Demonstrated ability to initiate actions and to work with minimal supervision
