The Department of Facilities Management Security Services Division is seeking applicants to fill the position of ADS Level 5 Administrative Assistant.

RESPONSIBILITIES:

  • General office administration, supply ordering, and meeting planning
  • Responding to inquiries and providing information to walk-in, call-in clients
  • Processing parking enforcement, and policing documents
  • Monitoring security systems such as but not limited to CCTV, fire monitoring, electronic access, key management, alarm system, and radio communications
  • Supporting the daily operational departmental needs
  • Documenting activities of team members, events, emergency situations and other security related actions
  • Processing and collating data for reports to management
  • Ongoing updating of Security Services databases as required
  • Receiving emergency and non-emergency calls for service and dispatching the appropriate responders
  • Assisting the Operations Manager and Assistant manager with annual budget submission
  • Monitor schedule and perform call-ins for vacant officer and attendant spaces
  • Other duties as assigned

QUALIFICATIONS:

  • Grade 12 graduation plus completion of a recognized post-secondary program in a related area is required plus a minimum of two (2) years relevant work experience, preferably in a University environment
  • Experience and use of computers with various software programs such as Windows, Microsoft Word, Excel, Access, CCTV, alarm monitoring
  • Intercultural competence; patience in communicating with speakers of English as an additional language
  • Function as a member of a team in a busy department; exercise a high degree of judgment and confidentiality; demonstrate a superior customer service orientation and attention to detail
  • Familiarity with UPEI’s information systems (Beacon) would be an asset
  • Familiarity with University regulations and policies will be considered an asset
  • Previous communications centre experience would be an asset
  • Previous experience with controlled access, monitoring system, and security management systems would be an asset
  • Previous emergency management experience would be an asset
  • Federal Government and all applicable security clearance will be required
