Reporting directly to the Manager of UGME, the successful applicant is an important member of the Undergraduate Medical Education (UGME) team. They support the work of the UGME office to ensure that recruitment, scheduling and curriculum administration are up to date and adequately supported. They are cross-trained in both the clinical skills and pre-clerkship roles to provide coverage and support to these positions. Their day-to-day activities will focus on recruitment and scheduling communications, preparing curriculum packages and assisting with curriculum and exam delivery.

The successful applicant will build and foster relationships with Memorial University (Memorial) Faculty of Medicine UGME administration and faculty leadership and play a key role in ensuring that all UGME processes meet the accreditation guidelines and support faculty in completing required data collection instruments for the accreditors of medical education.

  • Other duties as required to ensure the operational needs of the UGME curriculum are met over the four years of the Doctor of Medicine program with engagement in UGME position cross-training and coverage

RESPONSIBILITIES:

  • Assists the UGME team in preceptor and community recruitment, assignment tracking for all educators, scheduling, and course communication
  • Assists in the collection and delivery of accurate session-specific course documents for faculty, community-based facilitators, and students
  • Ensures that the UGME database is kept up to date and matches the educator assignments.
  • Reviews the educator assignment tracking excel and database for accuracy ahead of the submission of hours for payment by the UGME Manager.
  • Collaboratively contributes to solutions to issues arising in the dynamic educational environment.
  • Assists with exam administration and participates as a support in the flow of the Objective Structured Clinical Examination (OSCE) stations.
  • Works in collaboration with the PEI UGME Manager and Memorial’s Manager of Curriculum and Accreditation to assist with data collection to inform reporting on the PEI Campus accreditation requirements.
  • Supports the UPEI Faculty of Medicine in completing required data collection instruments for the accreditors of medical education.
  • Facilitates communication between students and faculty related to UGME as needed.
  • Collaborates with staff of the CLSC to ensure that clinical learning spaces are ready and available for learners in support of the Clinical Skills Curriculum Coordinator.
  • Supports the Pre-Clerkship Coordinator in the organization and implementation of small group learning sessions.
  • Participates in various committees and meetings and provides administrative support (meeting scheduling, minutes, etc).
  • Performs other duties as required to ensure the effective delivery of Memorial’s accredited UGME curriculum on the UPEI Campus

QUALIFICATIONS:

  • Completion of a three-year community college diploma or certificate in business administration with a minimum of two years of work experience
  • Experience within a post-secondary institution or a health authority would be considered an asset
  • This role requires a high degree of coordination with faculty, staff and students across two medical campuses, research faculty and community-based contacts. As a result, the incumbent must demonstrate superior organization and interpersonal skills
  • Strong oral and written communication skills are required
  • The successful candidate will be thorough, collegial, pay attention to detail, and demonstrate commitment
  • Proficiency in Microsoft Office Suite, including Excel, is required
  • Knowledge of Desire2Learn (Brightspace) and One45 software programs would be considered assets
