This position is intended to provide a wide variety of administrative support services to the personnel within the AVC Dean’s Office; assist students, faculty and staff in other departments and units in the College, and direct visitors. This position operates in a fast-paced, high-volume, multitasking environment.

RESPONSIBILITIES:

The successful candidate will provide administrative support in the Dean’s Office with a focus on reception duties, supply ordering, physical organization within the office and the main lobby area of the AVC. 

Primary responsibilities include:

  • Responds to general inquiries from visitors, students, staff and faculty
  • Creates and maintains an inventory of space use in AVC
  • Ensures that AVC general spaces and Dean’s suite are well-maintained
  • Maintains the Dean’s Office paper filing and electronic filing system
  • Ensures the AVC’s telephone and email lists are up-to-date on myUPEI
  • Maintains the AVC Committee Membership list to ensure accuracy
  • Updates the AVC’s bookable room inventory within 25Live
  • Assists in organizing AVC promotional and acknowledgement materials
  • Monitors and processes invoices related to the disposal of hazardous material
  • Performs additional administrative duties as assigned
     

QUALIFICATIONS:

  • Minimum of a two-year Community College diploma or one year of Bachelor degree
  • Minimum of one year of relevant experience
  • Demonstrated excellent interpersonal and oral and written English communication skills
  • Excellent work ethics and reliability
  • Demonstrated ability to work independently, actively problem-solve and take initiative where appropriate
  • Excellent organizational and time management skills
  • Strong attention to detail
  • Demonstrated ability to work with others while meeting deadlines

Assets include:

  • Successful completion of a recognized post-secondary program in a related  program or discipline
  • Working knowledge and demonstrated competency in computers and various office software programs (i.e., Microsoft Office Suite; Outlook Mail, Calendar and One Drive; Google; Doodle; Zoom; Colleague, 25Live)
  • Familiarity with the academic / curricular programs, policies & procedures at the Atlantic Veterinary College
  • Knowledge of UPEI-specific programs such as Romeo, Moodle, VIRMP, MyUPEI and 25Live
  • Familiarity with the university environment and university policies & procedures
