Administrative Assistant - Employee Experience, Training, and Development - Department of Human Resources
$69,259 to $76,788 per annum
May 1, 2026 – April 30, 2027 (Term may be reduced or extended depending on performance, available funding, and departmental requirements)
The Administrative Assistant provides operational and administrative support to the Employee Experience, Training & Development portfolio. This role supports the coordination of employee engagement programs, training sessions, performance feedback processes, onboarding initiatives, mentorship activities, and leadership development programs.
The successful candidate will be highly organized, detail-oriented, and committed to supporting a positive employee experience for all staff and faculty.

RESPONSIBILITIES:
- Coordinate logistics for engagement initiatives, recognition activities, team building events, training sessions, leadership development programming, and onboarding activities (e.g., scheduling, registrations, room bookings, facilitator communication, and preparation of event materials)
- Prepare communications, schedules, promotional content, meeting notes, and other documentation to support employee engagement, training, performance processes, and cross departmental collaboration
- Support the distribution, collection, and organization of employee feedback, including surveys, interviews, focus groups, and performance feedback tools
- Maintain databases, digital files, shared drives, SharePoint sites and training records, ensuring accurate tracking of participation, facilitators, documents, and version control
- Collect, organize, and summarize training data, program evaluations, and performance-related metrics; maintain spreadsheets and logs to support ongoing evaluation and continuous improvement
- Assist with the administration of the performance review cycle, including distributing forms, tracking completion, organizing confidential records, and supporting related communications
- Provides administrative support for the Professional Development Fund process, including tracking applications, organizing documentation and filing
- Provides administrative support for scheduling and coordinating meetings
QUALIFICATIONS:
- Post-secondary education in office administration, human resources, business, or a related field; with two years related experience; an equivalent combination of training and experience will be considered
- Experience working in human resources, higher education, or employee development environments would be an asset
- Strong organizational and time-management skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- High attention to detail with strong document formatting and proofreading abilities
- Proficiency with Microsoft Office 365 (Outlook, Word, Excel, Teams, SharePoint)
- Ability to handle confidential information with discretion
- Demonstrated interpersonal skills with the ability to work both independently and as part of a team
