Administrative Assistant - Office of the Vice-President Administration and Finance
$64,578 to $71,605 per annum, prorated to term
ASAP to April 30, 2027
Reporting to the Vice-President, Administration and Finance, the successful candidate will work collaboratively with a diverse range of employees, leaders, and project teams across the University.
RESPONSIBILITIES:
- Manage and prioritize incoming communications, including monitoring shared inboxes, responding to routine inquiries, and directing or escalating matters as appropriate
- Coordinate executive calendars, including scheduling meetings, managing appointments, arranging logistics, and liaising with internal and external stakeholders
- Provide administrative and reception support, including greeting visitors, directing inquiries, and ensuring a professional and welcoming environment
- Process and support financial and administrative transactions, including purchasing, procurement activities, travel and expense claims, account reconciliations, shipment receipt, and related approval workflows
- Maintain accurate records, documentation, and filing systems in accordance with organizational policies and procedures
- Ensures the organization and safekeeping of confidential documents and information, handling sensitive matters with discretion
- Collaborate with internal departments and external partners to support operational efficiency and administrative objectives
- Perform other related administrative and operational duties as assigned
QUALIFICATIONS:
- Postsecondary diploma in office administration, business administration, or a related field. An undergraduate degree is considered an asset
- Minimum 3 years of administrative experience
- Advanced proficiency with Microsoft Office applications and electronic information systems, including SharePoint
- Exceptional organizational, time-management, and multitasking abilities.
- Strong written and verbal communication skills
- Demonstrated ability to handle sensitive and confidential information with professionalism and discretion
- Proven ability to manage competing priorities in a fast-paced environment
