The Office of Student Culture and Community Standards is seeking an administrative support person to provide administrative and operational support to the Manager of Student Culture and Community Standards and Unit. This is a multifaceted role which includes a variety of tasks. Located within the Associate Vice President Students portfolio, the Office of Student Culture and Community Standards is responsible for the promotion and development of student culture on campus and wellbeing through a variety of initiatives and activities as well as through programs and services such as the Mawi’omi Centre, Campus Life, and the Chaplaincy Centre.

RESPONSIBILITIES:
• Provide comprehensive administrative support to the Manager of Student Culture and Community Standards including managing appointments, scheduling meetings and handling correspondence
• Assist in budget tracking, financial reporting, and expenses management for the Office of Student Culture and Community Standards including Campus Life and Chaplaincy Centre
• Support event coordination by ensuring all logistics are in order including but not limited to: event approvals, room booking, calendar invitations and catering order submissions
• Assist with Staffing at events hosted by the Office of Student Culture and Community Standards
• Create and prepare meeting agendas, take minutes, assemble and distribute materials and track action items
• Maintain accurate records and documents ensuring data integrity and confidentiality
• Assist as needed with planning for: Convocation Countdown, Welcome Week, Open House, Campus Life, etc
• Onboarding/orientation steps/tasks/requests for new employees in the unit, including welcome week students each summer and Campus Life students
• Provide support and assistance to students – addressing inquiries, concerns, and referring them to the appropriate resources when necessary
• Prepare reports, presentations, and documents for the Manager of Student Culture and Community Standards, summarizing department activities and initiatives
• Ensure compliance with university policies, procedures, and regulations
• Collaborate with the Office of Student Culture and Community Standards staff on special projects, initiatives, and research related to operational goals and objectives including identifying grants and submitting proposals
• Perform other related duties as required
QUALIFICATIONS:
• Bachelor’s degree in a relevant field; or equivalent Diploma and experience
• Previous experience in administrative or support roles, preferably in an educational setting
• Strong organizational and time management skills
• Excellent interpersonal, collaborative, and both oral and written communication skills
• Demonstrated commitment to valuing equity, diversity and inclusion and contributing to an inclusive working and learning environment
• Culturally competent communication and cross-cultural understanding
• Ability to work independently as well as a member of a team, exercising a high degree of judgment and confidentiality
• Experience and demonstrated competency using various software programs such as Microsoft Office, Outlook Mail & Calendar, Word, Excel, Google Docs and Internet (must be able to search for required information)
• Ability to work with minimal supervision
• Familiarity with a university environment and with UPEI’s Colleague Student Information System and room booking software would be considered an asset
• Strong attention to detail and the ability to handle sensitive information with discretion
• Ability to work effectively in a fast-paced and dynamic environment
• Adaptability and flexibility in a variety of situations
• Knowledge of University policies and procedures would be an asset
