$78,750 to $87,305 per annum

August 24, 2026 to October 7, 2027 (Term may be reduced or extended depending on performance, available funding, and departmental requirements)

Reporting to the Chief of Staff in the Office of the President, with a secondary reporting relationship to the University Secretary, this position supports the priorities and initiatives of both offices. The successful candidate will work collaboratively with a diverse range of employees, leaders, and project teams across the University, contributing to projects and initiatives delegated by the President, Chief of Staff, and University Secretary.

RESPONSIBILITIES:

  • Managing calendars, coordinating meetings, preparing agendas and minutes, and tracking follow-up actions
  • Balancing multiple priorities, managing deadlines, and handling a high volume of tasks in a fast-paced environment
  • Strong written and verbal communication, including drafting correspondence, responding to inquiries, and interacting professionally with diverse stakeholders
  • Serving as the first point of contact for the President's Office and providing professional, diplomatic service to students, staff, faculty, visitors, and external partners
  • Handling sensitive executive, governance, and institutional information with professionalism and sound judgment
  • Coordinating executive meetings, special events, catering, facilities, technology, and other operational requirements
  • Processing invoices, contracts, procurement requests, expense claims, and reconciliations in accordance with policy
  • Maintain electronic filing systems, SharePoint sites, and other administrative tools
  • Independently addressing routine issues, prioritizing requests, and determining when escalation or consultation is required
  • Other duties as required

QUALIFICATIONS: 

  • Postsecondary diploma in office administration, business administration, or a related field. An undergraduate degree is considered an asset
  • Minimum five (5) years of progressively responsible administrative experience
  • Advanced proficiency with Microsoft Office applications and electronic information systems, including SharePoint
  • Exceptional organizational, time-management, and multitasking abilities
  • Strong written and verbal communication skills
  • Demonstrated ability to handle sensitive and confidential information with professionalism and discretion
  • Proven ability to manage competing priorities in a fast-paced environment
