The Department of Companion Animals is seeking applications from qualified individuals for a permanent, half-time administrative support position, with the potential for increased hours based on budgetary approval.  This employee will provide a wide variety of clerical duties & administrative support services in a fast-paced office environment.

RESPONSIBILITIES:

The successful applicant will report directly to the Department Chair and will provide general administrative support services to the department.

  • Organizing locum and short-term contract visitors including contract paperwork, travel, accommodations, licensure etc.
  • Assisting faculty members with student exams, grading, Moodle page organization and general course coordination / scheduling
  • Telephone/reception
  • Responding to inquiries
  • Typing, photocopying, collating documents
  • Assisting department technician with administrative duties
  • General accounting duties
  • Monitoring office equipment and other supplies
  • Preparing requisitions and other forms
  • Maintaining filing systems and mailing lists
  • Arranging appointments and meetings/workshops

QUALIFICATIONS:

  • Grade 12 plus successful completion of a recognized secondary program in a related area is required; a minimum of 2 years relevant experience required
  • A working knowledge and experience in computers & common office software programs (i.e., Microsoft Word; Excel & PowerPoint; Google Apps and electronic scheduling programs like Doodle) and UPEI-specific programs such as Moodle; myUPEI and 25Live
  • Demonstrated ability to work with others while meeting regular deadlines
  • Demonstrated effective interpersonal & communication skills
  • Demonstrated experience in handling multiple tasks amid changing priorities
  • Possess excellent oral and written communication skills
  • Ability to work with minimum supervision
  • Excellent organization skills & clear understanding of the importance of confidentiality
  • Ability to function as an effective member of a team

Definite assets:

  • Familiarity with the university environment and university policies & procedures
  • Familiarity with the academic/curricular programs, policies & procedures at the Atlantic Veterinary College
  • Previous experience in working with students
  • Previous experience with computer management information systems
