The Registrar’s Office and Student Experience Hub are seeking an Administrative Assistant to provide operational support to the records division of the Registrar’s Office. The successful applicant will report directly to the Associate Registrar.  This is a multifaceted and challenging role which includes a variety of tasks.

RESPONSIBILITIES:

  • Provide assistance to the Academic Planning and Curriculum Committee, supporting the submission, coordination and production of curriculum change submissions in preparation for Senate review
  • Manage the updating of Student Information System and Academic Calendar (current and future) with respect to curriculum change approvals
  • Manage and update course data (archived, new, cross-listings, equates)
  • Maintain system updates related to Advisor status on campus
  • Manage the Academic Standing review process and communication of associated decisions to students (including recording of status and conditions on the Student Information System)
  • Support the Academic Appeals process by compiling and collecting supporting information and documentation for use by the Committee Chair, and by representing the Registrar’s Office on that committee.  Record decisions and associated conditions of committee decisions
  • Support many aspects of Convocation, including (but not limited to) being a member of the Convocation Committee, assist with assigning Graduate Standing, compiling list of eligible graduates, processing graduates on the Student Information System, awards, procurement of Regalia, parchment printing, etc.
  • Review and confirm varsity athlete eligibility
  • Coordinate and facilitate Departmental Chair election process
  • Confirm Education Verification requests
  • Support the administration of non-academic progression requirements
  • Respond to external requests for student record information
  • Perform other related duties as required

QUALIFICATIONS:

  • Successful completion of a two-year post-secondary program and at least two years’ experience in an administrative support role or an equivalent combination of education and experience
  • Excellent interpersonal, collaborative, and both oral and written communication skills
  • Demonstrated commitment to valuing equity, diversity and inclusion and contributing to an inclusive working and learning environment
  • Culturally competent communication and cross-cultural understanding
  • Ability to work independently as well as a member of a team, exercising a high degree of judgment and confidentiality
  • Experience and use of various software programs such as Microsoft Office, Outlook Mail & Calendar, Word, Excel, Google Docs and Internet (must be able to search for required information)
  • Ability to work with minimal supervision
  • Familiarity with a university environment and with UPEI’s Colleague Student Information System would be considered an asset
  • Adaptability and flexibility in a variety of situations
