Ancillary Services at UPEI is committed to developing a year-round housing operation focused on students, conference guests, event attendees and the campus community.

We are currently seeking a Reservations and Assignments Administrator to help us fulfill our mission and to assist us in providing excellent customer services and organization year-round. The Reservations and Assignments Administrator (RHA) is a key service support position for the Ancillary Services unit, supporting both Residence and Conference Services. Reporting to the Manager, Residence and Housing Operations, this position will facilitate the day-to-day operational requirements as these relate to the residence application and assignment process, summer conference booking and inquiries, and facility maintenance issues. This position will also provide support to UPEI Campus Card services, including printing and programming ID cards and answering student inquiries. Additionally, this position will be the first point of contact for all visitors and customers of residence and conference services visiting the Ancillary Services office in Andrew Hall.

RESPONSIBILITIES:

  • Coordinate and facilitate the student housing application assignment process which includes but not limited to:
    • Responding to inquiries from potential and current students regarding the application process
    • Ensuring applications are being entered properly and updated as required
    • Completing room assignments and room-matching as required. Completing administration room moves, and related issues such as phone service, lock programming
    • Corresponding with confirmed applicants their room and roommate (if applicable) assignments
  • Coordinate and facilitate assignments for conference groups including entering rooming lists into computer system, programming cards, facilitating room moves, liaising with front desk and housekeeping staff about changes
  • Reception and office activities as they relate to daily operations. Including but not limited to email service, telephone service, Campus Card support. Provide support and direction to student staff as required
  • Data and Record Administration: coordinate, develop, and maintain Residence Services data and records as they pertain to those in-house and open applications. This includes but is not limited to guest occupancy rates, meal plan records, deposits and daily transactions

QUALIFICATIONS:

  • Post-secondary degree with a minimum of one year experience with the reservation assignment process or housing assignment process
  • Experience working in a fast-paced front desk situation
  • Excellent customer service and listening skills
  • Good computer skills and willingness to learn
