Room Booking Terms and Conditions

The below terms and conditions apply to all clients (internal/external) reserving a bookable meeting space or classroom space on the UPEI campus.

  • Meeting and classroom spaces are available to be reserved for functions or events that have received approval from one of the following approvers; (1) Facilities Management, (2) Conference Services, (3) Registrar’s Office, (4) Athletics and Recreation.
  • All external clients will be required to pay the meeting space and/or classroom rental rate for the meeting space and/or classroom space plus applicable taxes for the use of the space.
  • The University reserves the right to charge a nominal fee for cleaning if rooms are left in an untidy condition.
  • Rooms are to be used for expressed purposes within the reserved time frame, which must include set-up and teardown time.
  • Furniture cannot be removed from the reserved  meeting space or classroom space and must be returned to its original configuration if moved.
  • Waste must be disposed of and instructional signage must be removed.
  • Instructional signage or work sheets may be temporarily attached to the wall using poster putty or masking tape. Using Scotch tape, Duct tape, or any version thereof, is prohibited because of the increased possibility of damaging the wall finish.
  • Instructional signage or work sheets are not to be attached to windows.
  • In the case of an event or function that occurs without proper approval, the University reserves the right to ask the participants to vacate the area immediately.
  • For evening and weekend events which run beyond regular hours of operation, additional charges for the mandatory services such as custodial services and additional security (if required) will be incurred by the client.
