Synapse Applied Research and Industry Services Inc. has an opening for a Contracts Coordinator.

Overview of the Role:

The Contract Coordinator will be responsible for coordinating with Business Development Officers, Researchers, Legal, & Administrative staff at UPEI to build efficient processes to support collaborative projects. The ideal candidate will be highly focused, and results oriented with a proven track record in supporting complex, dead-line driven projects within demanding time frames; able to identify priorities and resolve issues in initial stages; and have effective analytical and problem resolution abilities. Exceptional written and oral communication skills and professional demeanor are a necessity. The candidate must also be able to handle confidential correspondence and documentation and treat with the utmost sensitivity. The role will be integral to the Synapse team but with independent duties and as such requires a team player with the ability to work independently with little supervision. Experience working within a university environment would be considered a benefit.

Responsibilities:

  • Work with BDO’s, Legal, and Research Services staff at UPEI to create efficient administrative processes for industry partnerships;
  • Work with BDO’s to assist Researchers with form completion and document submission to ensure timely approval of projects;
  • Assist BDO’s in the drafting of various types of agreements and liaise with legal representation as required on development of agreements involving IP, material and technology transfer, and licensing;     
  • Follow up with Stakeholders to ensure projects are advancing efficiently;
  • Ensure administrative compliance with UPEI's policies & procedures;
  • Report and present progress to BDO’s on a regular basis;
  • Attend conferences, tradeshows or other events, as required;
  • Support industry partnership events with Synapse and UPEI staff;
  • Work with the CEO and Bookkeeping and Administrative Assistant to monitor service timeline;
  • Maintain and update data in Synapse’s client management system.

Minimum qualifications include:

  • A University degree or College diploma          
  • Experience working with industry and university partners
  • Experience working with multiple stakeholders and projects simultaneously
  • Proven ability to prioritize multiple projects and/or tasks
  • Strong interpersonal and communication (both oral and written) skills
  • Research data entry experience preferred
  • Must be self-motivated, able to work independently and part of a team
  • Ability to identify and measure key metrics. 
  • Ability to find simple solutions to improve efficiencies
  • Ability to create and work with automated forms

Qualifications considered as an asset include:

  • Additional credentials such as a graduate degree
  • Experience in fields related to intellectual property and commercialization
