The Office of Continuing Education and Professional Development is seeking a Program Officer to provide operational support and oversight of a suite of continuing education/professional development certificate programs and courses.   This position will work closely with the Program Manager in supporting the ongoing development and administration of courses and programs as well as the strategic recruitment of students and clients.

RESPONSIBILITIES:

  • Prepare and maintain contracts for facilitators
  • Ensure instructor courses/programs/workshops are executed in accordance with the Fee for Service Contract
  • Ensure successful delivery of customized programing and services
  • Develop, plan and execute adult student recruitment, client initiatives and events
  • Develop, foster and maintain relationships with existing and potential clients and facilitators
  • Advise program participants on paths to completion
  • Monitor and evaluate program quality and provide feedback to facilitators
  • Represent the program at marketing functions, deliver presentations and serve as one of the primary points of contact for clients, instructors etc.
  • Research alternative revenue streams including contract proposals, new partnerships, and grants
  • Assist in developing and executing a five year strategic plan
  • Draft proposals in response to client enquiries for customized training and requests for proposals
  • Work with content experts to develop new programming
  • Provide coaching and basic technical support to facilitators for on-line programming
  • Track course registration, payment details for budgeting purposes
  • Maintain roster of current and potential facilitator information as well as client data bases
  • Actively participate in identifying and prospecting opportunities for continuing education/professional development programs/courses
  • Create an array of publications, brochures, and other marketing material, ensuring program information and the respective website is accurate and up-to-date
  • Assist with creating and executing a sales and marketing plan
  • Conduct market research to examine emerging trends in professional development programming
  • Establish and implement procedures for effective and efficient management of the Office of Continuing Education and Professional Development (i.e. transfer / collection / attendance / cancellation / payment arrangements / hospitality / etc.)
  • Establish and implement procedures for quality assurance around professional development course experiences, instructional design and learning experience provided by the Office (i.e.: professionalism, organization, adult learning principles, interactive learning, program effectiveness and success)
  • Maintain budgetary and financial activities for the office in collaboration with the Program Manager
  • Work with other departments to build partnership opportunities
  • Other duties as may be required

QUALIFICATIONS:

  • Minimum of a bachelor’s degree
  • Preference will be given to candidates who have a combined minimum of two-year (2) years of experience planning, organizing, leading administrative services operations (this could include but is not limited to: planning, administering & maintaining budgets; preparing reports; etc.)
  • Strong written & oral communication skills
  • Detail and process oriented
  • Superior organizational skills with the ability to manage multiple responsibilities in a fast-paced environment
  • Demonstrated proficiency in the use of various forms of technology; extensive experience with Microsoft Office Suite of products including advanced Microsoft Word and Excel skills, Colleague, Moodle, 25Live, and myUPEI
  • Demonstrated experience working in a diverse and busy (high-volume) client service environment
  • Demonstrate superior customer service orientation and attention to detail; previous communications centered experience would be an asset
  • Ability to successfully advance multiple competing priorities
  • Ability to work independently and as part of a team while demonstrating flexibility and adaptability
  • Strong interpersonal skills with the ability to establish and maintain relationships with multiple stakeholders
