The Registrar's Office requires a Coordinator of Academic Records and Curriculum Support responsible for academic records, the degree audit process, preparation of academic materials for Senate committees, and for the oversight of the online and PDFs versions of the academic calendar.  The incumbent must be knowledgeable about the academic regulations, and provide guidance for students, Faculty and staff as required.   The incumbent will play a key role in the Registrar’s Office and join a team whose goal it is to support and contribute to student success. 

RESPONSIBILITIES:

• Reporting to the Registrar, the incumbent will act as the initial point of contact for faculty regarding academic program development and program modification
• Update annually degree requirements approved by Senate
• Oversee the orderly and accurate presentation in the University's academic calendar
• Provide advice and assist Faculty, Chairs, Deans and administrative assistants in the completion of forms for the preparation of academic materials 
• The Coordinator, utilizing and managing the degree audit module, will prepare annually the list of graduating students and assist students, faculty and staff with questions related to graduation requirements 
• Monitor the grade submission process each semester/session ensuring that all grades are submitted by the deadlines and students' records and students' academic standing are updated as required
• Be responsible for the disposition of academic records including scanning, digitizing, culling and shredding of files
• The Coordinator will supervise two staff, the Records Clerk and the Administrative Assistant, Academic Records
• The incumbent will assist in the transition to a new student information system and, as part of the Registrar's Office senior team, contribute to the creation of new processes, workflows and business rules

QUALIFICATIONS:

• Successful applicants will possess an undergraduate degree with five years of relevant administrative experience in a university setting, an equivalent combination of education and experience will be considered
• Applicants must have a thorough knowledge of academic policies, regulations and degree requirements and be able to communicate in a consistent and clear manner to assist those seeking advice and direction; attention to detail is critical
• Applicants must have strong analytical skills, computer skills and documented problem solving/decision making skills
• Supervisory experience will be considered an asset
• The most suitable candidates will be team-oriented and have experience in providing superior service to students, faculty and staff; have demonstrated leadership and organization skills, and have displayed a high degree of judgement and confidentiality.
