The Prince Edward Island Primary and Integrated Health Care Innovations Network is seeking an administrative assistant to provide administrative and operational support in facilitating the Canadian Institute for Health Research Strategies for Patient Oriented Research Initiative.  http://www.cihr-irsc.gc.ca/e/41204.html The Network’s  mandate is creating the infrastructure for a learning/knowledge network in primary care addressing patient centered issues across the lifespan (i.e. child, adult, seniors) through building and training a network of researchers to conduct patient oriented research and enlisting patients as partners in research.

RESPONSIBILITIES:

• Receive and distribute incoming mail and acknowledge routine written and telephone inquiries
• Compose, type, photocopy and collate a wide range of documents and correspondence, compile and organize information for reports
• General accounting duties, reconciling credit card statements and budget planning
• Create and prepare meeting agendas, take minutes, assemble and distribute materials and track action items
• Assist with duties which include arranging and planning meetings and events and classroom bookings
• Coordinate the ordering and tacking of supplies and equipment
• Coordinate special events on behalf of the PEI PIHCIN
• Assist with the administration of the Masters of Applied Health Services Program
• Process and maintain student files
• Provide support and work in collaboration with PIHCIN Members
• Prepare paperwork for staff and student hires
• Assist PIHCIN members with travel arrangements, visa applications, and itineraries
• Assist in maintaining positive communications with outside agencies and individuals pertaining to health care and the PIHCIN
• Establish and maintain administrative filing system and mailing lists
Prepare requisitions and other forms
• Monitor office and other supplies
• Assist in space allocations for student and PIHCIN partners
• Other duties as may be required

QUALIFICATIONS:

• Successful completion of an undergraduate University or College Degree
• A graduate degree would be considered an asset
• Successful completion of an Administrative Assistant Program with two years related experience or equivalent work experience
• Proficient in Microsoft Word, Excel, Moodle, E-Mail usage, Power Point, Internet searching
• Strong interpersonal communication and organizational skills
• Intercultural competence and function as an effective member of a team in a fast-paced environment
• Demonstrate superior customer service orientation and attention to detail
• Ability to deal effectively with people including conflict management skills
• Familiarity with University regulations and policies will be considered an asset
• Ability to maintain confidentiality
