The Registrar's Office requires an Administrative Assistant to provide administrative and operational support to the Registrar/Director of Enrolment Services and the Registrar’s Office. RESPONSIBILITIES: Reporting directly to the Registrar/Director of Enrolment Services, the incumbent will provide senior level administrative support to the Registrar’s Office, including coordinating, arranging and planning all meetings and events for the Registrar, creating and preparing meeting agendas, taking minutes, assembling and distributing meeting materials and tracking action items. The incumbent will prepare correspondence and make travel arrangements; coordinate and maintain budget materials; advise staff, students and faculty on policies, procedures and regulations; liaise with internal and external bodies; conduct research for the Registrar, and provide first point of contact service for inquiries to the Registrar. Operationally, the incumbent will provide the Registrar’s Office with office coordination services, including ordering and tracking office supplies; completion and submission of all related HR/financial forms; orientation for new employees; maintenance of confidential files; administrative support to the Assistant Registrar and other areas of the Registrar’s Office; and perform other duties as required. QUALIFICATIONS: Successful applicants will possess a minimum of 5 years progressively responsible experience in a large office environment, preferably a university; be proficient in office coordination, operations management and team dynamics. Successful completion of an appropriate post-secondary program or equivalent education is required; a university degree would be considered an asset. In addition, the incumbent must present strong interpersonal and written communication skills; be proficient in operating various software packages, particularly database systems; demonstrate excellent organizational skills and an ability to work independently, exercise a high degree of judgment and confidentiality; and, demonstrate a superior customer service orientation, recognizing that serving our students, faculty and staff are at the center of everything we do.
