The Department of Pathology and Microbiology requires an Administrative Assistant to provide administrative support services to the department.

RESPONSIBILITIES:

The successful applicant will report directly to the Department Chair, and will provide general administrative support within the department. This includes:

  • Telephone/reception
  • Responding to inquiries
  • Typing, photocopying, collating documents
  • Assisting faculty members with student exams and marks
  • General accounting duties
  • Monitoring office and other supplies
  • Preparing requisitions and other forms
  • Maintaining filing systems and mailing lists
  • Arranging appointments and meetings/workshops
  • The work involves a wide variety of multi-tasking aspects with deadlines and confidentiality

QUALIFICATIONS:

  • Grade 12 graduate plus successful completion of a recognized secondary program in a related area is required; relevant years of experience required
  • A working knowledge and experience in computers and common office software programs - i.e. Microsoft Word, Excel, Google Apps, PowerPoint, Moodle, electronic scheduler (e.g., Doodle, etc.)
  • Knowledge with Photoshop, HTML, and software for creating and maintaining web sites is required
  • Demonstrated ability to work with others while meeting regular deadlines
  • Effective interpersonal and communication skills
  • Experience in handling multiple tasks amid changing priorities
  • Ability to work with minimum supervision
  • The ability to work as an effective member of a team is a definite asset
  • Excellent writing (grammatical, typographical, and ability to improve and edit documents) and familiarity with the university environment and procedures, and possession of an undergraduate degree would be useful assets
