UPEI is embarking on the implementation of a new administration system to provide increased functionality for students, faculty and staff.  As part of this project the university is seeking four experienced Business Process Project Officers to participate as integral members of the Project team to ensure the successful implementation of Ellucian Colleague System and to provide ongoing business systems analysis in support of the university’s strategic objectives.  

Business Process Project Officers will be housed within the Financial Services Office, Registrar’s Office, Human Resources Department and  IT Systems and Services.  During the project the Business Process Project Officers may be required to work in any of these four functional areas.

Working as part of the Senior Project Team, the Business Process Officer works collaboratively with internal and external stakeholders and consultants to implement and enhance the university's IT systems by analyzing requirements; designing processes; and recommending system solutions. The Business Process Project Officer will work closely with the Project Manager and the UPEI Human Resources Department staff members to define system requirements and to facilitate the successful implementation of the new administrative system.  This individual will apply proven management, communication, analytical, and problem-solving skills to help maximize the benefit of IT system investments and to facilitate implementing new IT systems.

RESPONSIBILITIES:
This position will be responsible for:
● Identifying and charting existing business processes in order to define current business activities for the development of procedures and models which will be re-engineered in the new system
● Reviewing and working with relevant confidential departmental data.  Creating process models, specifications diagrams, and charts to provide direction to systems programmers.
● Developing operational reports for department
● Taking inventory of system related documents, reports, policies etc.
● Developing prototype procedures for the purpose of enhancing business processes, operations, and information process flow
● Providing basic systems support for departmental staff
● Preparing and delivering reports, recommendations, or alternatives for improving processes in operating systems across the organization.
● Meeting milestone dates for major task completion
● Collaborating in the planning, design, development, and deployment of new applications, and enhancements to existing applications.
● Facilitating and participate in unit meetings with decision makers, systems owners, and end users to define business, financial, and operations requirements and systems goals.
● Liaising with project implementation team and unit members on an ongoing basis.
● Communicating process changes, enhancements, and modifications – verbal or through written documentation – to management, peers, staff, and other employees so that issues and solutions are understood.
● Assisting in and directing the completion of training manuals
● Identifying and establishing scope and parameters of process analysis in order to define impact, outcome criteria, and measure-taking actions.
● Collaborating with the other unit Business Process Project Officers on unit requirements relating to the project, which will require access and review of confidential departmental data.

QUALIFICATIONS:
• College diploma or university degree in the field of business administration, computer science, finance, or management information systems and 5 years related work experience, or an equivalent combination of education and work experience.
• Proven experience with business and technical requirements analysis, business process modeling/mapping, methodology development, and data modeling.
• Experience working in a Human Resources Department at a post-secondary educational institution.
• Demonstrated experience working with highly confidential materials
• Experience overseeing the design, development, and implementation of software and hardware solutions, systems, or products.
• Extensive practical knowledge in importing data for use in report software, spreadsheets, graphs, and flowcharts.
• Ability to create systematic and manual operations procedures in both technical and user-friendly language.
• Ability to apply statistical and other research methods into systems issues and products as required.
• Working knowledge of network and PC operating systems.
• Working knowledge of current network hardware, protocols, and standards.
• Experience with Ellucian Colleague system would be an asset
• Demonstrated project management skills and project management software skills, including MS Project
