The Office of Skills Development and Learning (OSDL) is seeking applications from qualified individuals to provide administrative support in a dynamic and diverse office environment responsible for a wide array of services and programming.

RESPONSIBILITIES:

Reporting to the Director of OSDL, the successful candidate will support the work of staff engaged in the delivery of Experiential and Work Integrated Learning, including Co-operative Education, Career Services, and English Language Programing.   

Duties will include:

• General office duties including acting as the first point of contact for the Office both in person  and on the phone; managing inquiries through the general office email account, maintaining office files, booking meeting times and space for staff; and overseeing the operational needs of the office

• Providing administrative support to Cooperative Education co-ordinators, including registration and orientation of students into the program, maintaining the ORBIS database, coordinating professional development sessions, assisting employers with job postings, and supporting students to submit the required documents to secure work term placements

•  Providing administrative support to English Language Programming (ELP): English Academic Preparation, Customized English Programs, Explore Spring and Summer Language programming including registration of students in the UIS, handling inquiries from students, issuing certificates of completion and supporting  ELP staff, assist with hiring and scheduling of student assistants

QUALIFICATIONS:

• Diploma in Office Administration (or comparable program) and two years of work experience in a similar environment
• Proficient in the use of computers and the following software programs: Windows, Microsoft Word, Excel, Gmail, Google docs, Moodle
• Demonstrated interpersonal and intercultural communication skills and experience
• Demonstrated ability to work independently, with  attention to  detail, confidentiality, excellent time management and organizational skills
• Enjoy interacting with people and exhibit excellent customer service skills, including initiative and problem solving
• Must possess excellent  oral and written English communication skills
• Experience working with UPEI Information System is preferred
• Familiarity with UPEI regulations and policies will be considered an asset
