The University of Prince Edward Island is seeking applications from energetic and motivated individuals to join the Financial Services team.  This position will support University Procurement initiatives and assist clients in making procurement decisions that optimize the use of University funds.  This position will report to the Assistant Manager of Procurement and Payment Services.

RESPONSIBILITIES:

• Processing electronic requisitions and verifying information and back up for purchase orders
• Shared responsibility for departmental reception including providing customer service to all clients (general public and on-campus), via phone, email and in person
• Ensuring adherence to University policy and procedures related to procurement activities
• Providing support for Customs Clearance processes including responding to inquiries, liaising with customs brokerage staff, Accounts Payable staff, and supporting records maintenance
• Assisting with the reassignment and disposal of surplus assets
• Assist in maintaining unit website
• Responsible for the on-line and credit card purchases. Maintain files for office credit card purchases and statement reconciliations
• Trouble shoot any shipping and billing issues
• Budget verifications and authorizations
• Maintaining vendor database
• Assisting with electronic filing of invoice emailed to our department
• Maintenance of office files and support all functions of the Procurement Office
• Perform other related duties as required

QUALIFICATIONS:

• Successful completion of a post-secondary diploma preferably in business, accounting or office administration
• Experience in accounting or procurement, preferably in a University or similar setting
• Comprehensive knowledge and skills in word processing, electronic information systems, spreadsheet and database applications
• Accuracy; attention to detail
• Clear understanding of the importance of discretion and confidentiality
• Effective communication skills (orally and in writing)
• Be able to work both as part of a team and independently
• Excellent interpersonal skills
• Exceptional customer service skills
• Excellent time management skills and the ability to prioritize
