Project Manager
Full Time Term Position
Hours of Work: 

37.5 hours per week

Commensurate with qualifications

July 2015 – Sept 30, 2017 (Term may be reduced or extended depending on performance, available funding and departmental requirements.)

Reporting to the Project Director for the School of Engineering, the Project Manager will monitor projects to ensure scope of work, schedules and budget are well defined, maintained and accomplished. Act as a central point of contact for all financial and administrative aspects of the project. Assist the Project Director with the management and coordination of the financial, logistical, contractual, and administrative elements of the project. Perform all other duties, functions and assignments inherent to the position to ensure smooth management of the project.


• Manage and maintain the overall project budget
• Monitor and track related accounts and prepare quarterly reports
• Prepare financial reports, cash flow projections and budget forecasts
• Ensure all purchases and transactions are eligible under the funding agreement(s).
• Ensure expenses are recorded accurately, prepare purchase requisitions, and track capital/equipment purchases and delivery
• Track in-kind contributions from industry or other sponsors
• Review claims and associated expenses for accuracy prior to review by Project Director
• Collaborate with the Research Finance Officer in reconciliation of all related accounts

• In collaboration with the Project Director and following Project Management Principles create a master project plan for completion and follow-up.
• Manage project progress, flagging concerns and upcoming deadlines for the Project Director
• Liaise with other UPEI departments, external sponsors and industry partners
• Compile data and prepare project progress reports for review and submission to funding agencies
• Prepare tables, graphs, and charts
• Preparation of present project status reports & other presentations as required
• Coordinate committee meetings and serve as a committee member

• Responsible to amend contractual agreements in consultation with Research Services
• Knowledge and understanding of contractual agreements for all funding and in-kind sources including matching funds, providing advice to Project Director and VP Research Services
• Provide regular updates on status of agreements
• Work with Research Accounting, Research Services, and Three Oaks Innovations, Inc. to ensure new agreements are aligned with other contractual obligations
• Other duties as assigned by the Program Director

Human Resources
• In collaboration with the Project Director participate with project staffing requirements
• Preparation of job postings and follow-up
• Participate in the hiring process and ensure all documentation is submitted to Human Resources

• Degree in business administration, accounting, engineering, management or related discipline is required
• Certificate in Project Management or MBA is an asset
• 3 years of experience in project management including accounting, budgeting, reporting, preparing financial analysis and funding applications, tracking multiple projects (Gantt charts, schedules, tasks, milestones) and monitoring contractual requirements /obligations
• Excellent time management (managing multiple projects), interpersonal (oral and written) communication skills
• Administration experience with Federal Government contracts
• Advanced skills with Microsoft Office and software for managing projects
• Strong analytical skills
• Ability to maintain confidentiality
• Ability to work in a collaborative environment
