The Faculty of Business is seeking an Administrative Assistant to provide administrative and operational support services to the various components of the Professional Development portfolio.  The successful applicant will support and coordinate a wide array of programs and activities.  This is a multifaceted and challenging role which includes a variety of tasks.

RESPONSIBILITIES:

• Respond to general telephone and electronic enquiries and relay telephone calls and messages
• Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and organizations
• Maintain manual and computerized information filing systems
• Maintain web pages
• Assist in the preparation and maintenance of requisitions, invoices, budgets, contracts and agreements
• Assemble data and draft reports, and correspondence; May compile data, statistics and other information to support research activities
• Co-ordinate services for courses, workshops and meetings, such as facilities, parking for participants, distribution of materials, catering, signage, displays, special needs requirements, audio-visual equipment, and printing
• Record, prepare and distribute minutes of meetings
• Arrange travel and complete travel claims
• Order supplies and maintain inventory
• Perform other duties as may be required

QUALIFICATIONS:

The successful applicant will possess the following qualifications:

• Grade 12 graduation plus completion of a recognized post secondary program in a related area is required plus a minimum of one-year relevant work experience, preferably in a University environment
• Experience and use of computers with various software programs such as
Microsoft Word, Excel, Google Applications, Drupal, and Internet
• Familiarity with the university accounting system UIS, considered an asset
• Must possess excellent communication skills and the ability to function as a member of a team in a busy academic and research department
• Ability to maintain confidentiality
• Familiarity with UPEI regulations and policies AND experience with social media platforms (e.g. Facebook, Linkedin, Twitter) will be considered an asset
