The International Relations Office (IRO) requires an ADS Level 5 Administrative Assistant to provide general administrative support to the Director of International Relations, and international admissions support to the Associate Director of International Relations and the International Admissions Coordinator. This position is instrumental in processing international student applications and is an integral part of the IRO, and the International Admissions team.

RESPONSIBILITIES:

• General office administration, supply ordering, and meeting planning
• Responding to student inquiries and providing admissions information and criteria
• Processing student applications and admission letters
• Compiling transfer credit files for review by appropriate official(s)
• Assisting with hiring, training, and scheduling of student assistant staff
• Assisting the Director with travel arrangements, visa applications, etc.
• Reconciling credit card statements, travel claim submissions, etc.
• Assisting the Director with annual budget submission
• Other duties as assigned

QUALIFICATIONS:

• Grade 12 graduation plus completion of a recognized post-secondary program in a related area is required plus a minimum of two (2) years relevant work experience, preferably in a University environment
• Experience and use of microcomputers with various software programs such as Windows, Microsoft Word, Excel, Access, and Internet (must be able to search for information as required)
• Intercultural competence; patience in communicating with speakers of English as an additional language; function as a member of a team in a busy department; exercise a high degree of judgment and confidentiality; demonstrate a superior customer service orientation and attention to detail
• Proficiency in additional language(s) would be an asset
• Familiarity with UPEI’s recruitment information systems (Beacon & Recruit) would be an asset
• Familiarity with University regulations and policies will be considered an asset
