The Office of Skills Development and Learning (OSDL) is seeking applications from qualified individuals to provide administrative support in a dynamic and diverse office environment responsible for a wide array of services and programming.

RESPONSIBILITIES:

Reporting to the Director of OSDL, the successful candidate will support the work of staff engaged in the delivery of Co-operative Education, Continuing Education, Career Services, Adult Learner Services, and ELearning.    

Duties will include:
• General office duties including acting as the first point of contact for the Office both in person  and on the phone; managing general inquiries through the general office email account, maintaining office files, booking meeting times and space for staff; and overseeing the operational needs of the office
• Providing administrative support to Cooperative Education co-ordinators, including registration and orientation of students into the program, maintaining the ORBIS database, coordinating professional development sessions, assisting employers with job postings, and supporting students to submit the required documents to secure work term placements
• Providing administrative support to non-credit continuing education programming including processing online course registrations, maintaining and tracking student information, coordinating course materials, AV requirements, space, food, certificates, etc. for each course; compiling statistics for non-credit programming; and supporting the Experimental Fish online course through the Canadian Aquaculture Institute
• Providing administrative support to Explore Spring and Summer Language programming including registration of students in the UIS, handling inquiries from students, issuing certificates of completion and supporting Explore staff

QUALIFICATIONS:

• Diploma in Office Administration (or comparable program) and two years of work experience in a similar environment
• Proficient in the use of computers and the following software programs: Windows, Microsoft Word, Excel, Gmail, Google docs, Moodle
• Must be able to work independently, be detail-oriented and demonstrate excellent time management and organizational skills
• Must be able to multitask and maintain confidentiality
• Must possess excellent customer service skills, including initiative and problem solving
• Must possess excellent interpersonal, oral and written English communication skills
• Experience working with UIS is preferred
