The University of Prince Edward Island (UPEI) invites applications for the position of Administrative Assistant to provide support to the Canada Excellence Research Chair (CERC) in Aquatic Epidemiology. The goal of the CERC program is to make UPEI and Canada the global leader in applied aquatic epidemiology research (with an ecosystem health focus).  The CERC research team includes AVC faculty members, research scientists, a project manager, post-doctoral fellows and graduate students.

The successful candidate will provide administrative support including budgetary and reporting requirements, and assist the CERC in delivery of outreach programs.  This position will report to the project manager

RESPONSIBILITIES:

• Represent CERC as the initial point of contact
• Maintain project budgets and accounts for CERC grants and projects as they arise, including itemized statements of spending for CERC team members, review of monthly credit card and review of related travel or other expenditure reports
• Ensure expenses are recorded accurately and in a timely fashion
• Support CERC team with arranging travel related to CERC projects
• Ensure all requirements of CERC grants are met or assist with arranging
• Support human resource requirements such as assisting with the recruitment and hiring processes
• Arrange for regular team meetings/presentations
• Support the contract approval process from initiation to contract execution for members of the CERC group, liaising with UPEI’s administrative officials, industry and academic collaborators, and funding partners
• Assist CERC team members to arrange for visiting scientists and applicable activities
• Manage the program files
• Manage team calendar of events and key dates
• Assist CERC team members to organize and execute CERC outreach activities

QUALIFICATIONS:

• Successful completion of Grade 12
• Post-secondary education in an Administration Program with progressive related experience, or an equivalent combination of training and experience
• Knowledge of MS Office suite particularly Word and Excel and electronic information systems
• Excellent organizational skills
• Excellent communication skills
• Familiarity with University accounting processes and website development and maintenance is desirable
