Administrative Project Manager - UPEI Climate Research Lab

The UPEI Climate Research Lab conducts research and science on climate change vulnerability, impacts and adaptation. Established in 2012, the UPEI Climate Lab is launching research programs, monitoring programs, a volunteer watch system, a climate seminar series, an annual climate science symposium, a climate student award, training sessions, an academic programme on applied climate change, and an international peer-reviewed journal.

Reporting to the Director, the Administrative Project Manager is responsible for assisting in the administrative management of Climate Research Lab and its various projects.


• Ensure all purchases are eligible under the funding agreement
• Ensure expenses are recorded accurately, prepare purchase requisitions, and track equipment purchases and delivery
• Work closely with Research Finance Officer to ensure all accounts are established according to the funding agreement
• Collect supporting documentation and prepare claims for review by PI
• Track accounts for contractual agreements used as matching funds and prepare quarterly reports on available funds for the PI
• Prepare cash flow projections and financial forecasts based on all sources of funding and anticipated expenditures and review with PI and Research Accounting

• Assist in the coordination of the projects with members of the research team
• Compile and draft various reports for review and submission
• Prepare tables and graphs
• Participate in various committees and record minutes as required
• Assist PI with the development of proposals and funding applications
• Track research progress with respect to project time lines and deliverables and flag any concerns, upcoming, or missed deadlines for the PI
• Assist with the preparation of presentations

• Be familiar with all contractual agreements that provide project funding and advise the PI of sponsor requirements as well as scientific and personnel management deadlines
• Provide regular updates on status of agreements
• Work with Research Accounting and Research Services to ensure new agreements are submitted with appropriate documentation and administrative approval forms
• Prepare draft agreements based on previous agreements for review by Research Services Research Contracts Officer

Human Resources
• Participate in personnel matters and prepare all required documentation 
• Assist in the preparation of job descriptions
• Ensure Personnel Transaction Forms submitted are fully completed, assigned to the correct accounts and have start and end dates appropriate to the source of funding


• Degree in business administration, management, or related discipline
• 3 years of experience in administrative project management including managing budgets, preparing funding applications, tracking multiple projects including schedules and milestones, and monitoring contractual requirements
• Excellent time management (managing multiple projects) and communication skills
• Ability to maintain confidentiality
