The Department of Pathology and Microbiology requires an Administrative Assistant to provide administrative support services to the Department. The successful applicant will report directly to the Chair and will provide efficient and timely financial, personnel and administrative services for the faculty and staff of the Department.

RESPONSIBILITIES:

• Assisting the Chair in monitoring and maintaining up-to-date records for departmental budgets
• Providing confidential liaison on personnel matters with the AVC Dean’s Office, Human Resources, and Payroll Department
• Coordinating and prioritizing the internal administration of the department
• Organizing the Chair’s agenda, including arranging appointments, meetings, and travel arrangements for the Chair and guests of the Department
• Maintaining a well-organized filing system for departmental records
• Taking minutes at departmental meetings
• Maintaining office supplies and repository of resource materials for consultation (i.e. University calendars, reports, etc.)
• Providing assistance to DVM and graduate students as assigned
• Providing functional guidance to other administrative support personnel
• Performing other related duties as required

QUALIFICATIONS:

• Grade 12 graduate plus successful completion of two years of post-secondary program in a related area is required with at least 5 – 7 years related experience
• Completion of medical secretary courses
• Experience with budgets and bookkeeping
• A working knowledge and experience in computers and common office software programs - i.e., WordPerfect, Microsoft Word, Excel, Google Apps, PowerPoint, Moodle, electronic scheduler (e.g., Doodle, etc.)
• Knowledge with Photoshop, HTML, and software for creating and maintaining web sites is an asset
• Demonstrated ability to work with others while meeting regular deadlines
• Effective interpersonal and communication skills
• Experience in handling multiple tasks amid changing priorities
• Ability to work with minimum supervision
• The ability to work as an effective member of a team is a definite asset
• Excellent writing (grammatical, typographical, and ability to improve and edit documents) and familiarity with the university environment and procedures, and possession of an undergraduate degree would be useful assets
